Terms and Conditions for Exhibitors
American Events, Inc. has established the following policies and regulations for the NW and NE Materials Shows (The Materials Show):
1. Booth Package and Assignment
· All participating exhibitors are required to purchase a booth for each event they attend. Alternatively, they may purchase a non-exhibiting supplier ticket at $2,000 per person to attend without a booth. Non-Exhibiting Supplier Tickets are subject to approval.
· Booths are assigned on a first-come, first-served basis. Exhibitors from previous shows have the first right to select the same booth location, held for five business days after open registration begins. We cannot guarantee your previous booth after the set date.
· An invoice will be sent at time of registration and is due within (7) business days.
2. Cancellation Policy
· The booth fee is fully refundable up to five business days after registration.
· Non-Exhibiting Supplier Tickets are non-refundable.
3. Shipping and Handling
· All participating vendors are responsible for their own shipping costs. American Events, Inc. is not liable for shipping charges or any associated costs or delays.
4. Waiver and Liability
· Exhibitors assume full responsibility and liability for any losses, damages, and claims arising from their activities at the convention center. They agree to indemnify and hold harmless the convention center and American Events, Inc. from such losses, damages, and claims.
· American Events, Inc. reserves the right to cancel or close assigned booth space and/or the show (Force Majeure) any act of God without incurring any legal or financial liability.
5. Compliance and Conduct
· Exhibitors must comply with all applicable laws and regulations, including those related to intellectual property, health and safety, and data protection.
· Exhibitors shall respect the intellectual property rights of others and refrain from any unauthorized use.
6. Policy for Non-Exhibiting Suppliers
· Non-exhibiting suppliers, including those providing materials, components, industry services, consultants, and recruiters, must pay a fee of $2,000 per person to attend. No exceptions.
· Solicitation by non-exhibiting suppliers to show attendees or exhibiting suppliers (“suit-casing”) is prohibited. Examples include non-exhibiting materials and components suppliers, freight forwarders, shipping companies, non-invited state or city organizations, non-invited color and trend companies, non-exhibiting media organizations selling ads, headhunters and recruiters, competing trade show organizers/promoters, and other competitive or non-essential entities.
7. Press and Photography Regulations
· Press badges are available for editorial members, photographers, and news media personnel.
· Photography is only permitted with prior approval from show management. Violators will be asked to leave.
8. Management Discretion
· American Events, Inc. reserves the right to deny entry to anyone or revoke access to maintain the event’s integrity and quality.
9. Dispute Resolution
· In the event of a dispute, parties agree to resolve it amicably through negotiation or, if necessary, through binding arbitration in a specified location.
10. Badge Policy and Identity Verification
· Each individual attending the event is required to wear their own badge, which must be visible at all times on the show floor. Badge sharing is strictly prohibited, and all individuals may be subject to identity verification. Violation of this policy may result in penalties, including removal from the event and prohibition from attending future events organized by American Events, Inc.
· Each booth is allowed up to (4) attending staff, with an additional 2 allowed at $200 each. More than 6 staff per booth necessitates the purchase of an additional booth, or a Non-Exhibiting Supplier ticket may be purchased for $2,000.
12. Updates to Terms and Conditions
· Companies registered via an agent are subject to all above policies.
· American Events, Inc. reserves the right to update these terms and conditions at any time, with updates communicated to exhibitors promptly.
By participating in The Materials Show, exhibitors agree to adhere to these terms and conditions to ensure a successful and professional event for all participants.
